Improvements to creating treatment notes

We've just released some improvements to the way you create and track treatment notes.  There's a bunch of small changes that add up to a much improved workflow for you.   This has been one of our most heavily requested changes, so we're hoping you like it.

Treatment note icon on calendar

We now show an icon on the appointments on the calendar to indicate which appointments have had draft or final treatment notes created for them.

Adding a note from the calendar immediately creates a draft

When clicking the "Add Note" link on an appointment, it will automatically save it as a draft and then open it for editing.  This means if you forget to save it, it will still appear on your dashboard as a draft.

Set a default template for your appointment types

You can now specify a default treatment note template to be created for different appointment types.  You set this up in Settings > Appointment Types.  Once done, adding a note from the calendar will default to the right template based on the appointment type.

A few other minor improvements

We also made a few other minor improvements to support these changes:

  • You can now select a different template while editing a treatment note (previously once a template was chosen you couldn't change it).
  • When creating a treatment note from the patients page, it will offer you a list of appointments to link it to.  It will offer appointments within 1 month from today.  This allows you to link them even if not creating it from the calendar.
  • If a treatment note is linked to an appointment, it will show the appointment date in the "Print" page for treatment notes.
  • If a treatment note is linked to an appointment, it will show the appointment date in the treatment notes data export.

Things to note

  • If you're already logged in, you'll need to refresh your appointments page to start seeing the treatment note icons.
  • You can't link previous treatment notes that are in final already.  This will be for all new treatment notes.
  • We recommend you go to Settings > Appointment Types and set up your default templates.  This is the only configuration you need do to take full advantage of this change.

    Looks great!

    Using it at the moment. Only comment is, I usually open a patient's notes in a new tab so that I can leave the appointment book open. Chrome is giving a 404 error and it will only let me open in the same tab. Once it is created it then lets me open a new tab from the appointment book. Not a huge issue, just creates a few extra clicks than previously necessary.

    Hi Michael,

    I noticed that too, I just didn't want to hold off the release until we had fixed it.  I'll see if a patch can be released tonight that addresses this.

    Hi David,

    Thank you for the comments. There is a color difference between draft and final treatment notes. On draft the little pencil is red, on complete it is white.

    Thanks for this update. It sounds great.

    I am particularly interested in the "Adding a note from the calendar immediately creates a draft" as I have been losing patient notes because I was habituated to the automatic save on exiting patient notes before a fix many months ago, I sometimes forget to save them and the yellow dialogue box that's supposed to ask tell me I have unsaved data for the patient doesn't necessarily appear when I reopen the note and I lose the previously taken notes. This has been very frustrating. Will this fix my problem?

    If it doesn't fix the problem, would you please consider putting in a 'Save Notes' button if I'm about to lose notes? Eg If I've been taking notes during a consultation and the patient tells me that they've move house, it's very tempting to click on  "Patient details" without saving the notes first (especially if they tell you during the consult rather than at the beginning or end) and suddenly there are no notes saved and no dialogue box so I can retrieve the unsaved notes. It's also cumbersome to save notes, edit patient details and then re-open notes and continue editing them. 

    I can cope with having to restart invoices, but notes are another thing entirely. I am aware that there are few of us who are experiencing this difficulty, but for those of us who are, it is infuriating and very inefficient. Fixing this problems would be excellent.

    Hi Ann-Maree,

    This should fix that issue.  Now when you do "Add Note" it will automatically create a draft for you.  Then if you don't save it, when you come back to that draft note it will have the yellow "restore" option for you.  I tested that workflow specifically to make sure it worked right.

    Let me know if you have any trouble with it, but I am confident you won't.

    Can you include an option (which we could turn on or off) to have Cliniko automatically create a treatment note as soon as an invoice is created for that appointment? At present it's just an additional step for the receptionist to have to "add note" once the appointment has been completed, but if this happened automatically then it saves a lot of time, and makes sure the icon is staring that practitioner in the face until they complete the notes!

    @Ian - which bit is staring you in the face?  The draft icons on the calendar, or the list of drafts on your dashboard?

    Icon on calendar. We don't tend to look at the dashboard all the time, so draft notes there often get missed.

    THanks for the feedback.  I noticed that, thank you!  I think the draft colour needs to be a bit brighter.  If one glances over the appointments page, it's not always immediately apparent that one or more notes may be draft.

    We love this!  Would it also be possible to add a column to the schedule reports under Reports that would y/n whether a treatment note exists so we can look at all of the appointments for a given week to make sure there are notes for all sessions? (The new note icon is awesome and very useful, but to look at all clinicians at once, the report format is easier).

    Can you add a feature whereby the receptionist (or administrator) can select the practitioner that is attached to the treatment note?

    At present our receptionist (who logs in using my login - the administrator one) creates the draft treatment note as soon as the appointment has been completed. This, however, means that my name is the one attached to all the treatment notes regardless of the practitioner. Or am I doing something wrong?

    I haven't been keeping apprised of latest updates and was excited about this notes section.  However I have logged out and logged back in, my appt types are already associated with notes from previously and I have double checked what you did.  I have NOTHING on my appts regarding notes icon.  However I have just played with it and worked out that if I click on the pt then click Notes tab, it will give me an icon.  Otherwise as we had been doing, going into pt details, then from left of screen selecting treatment notes and adding that way, it doesn't give me any icons.  Were you aware of this or is this wrong?
