Concession Types

You can now create concession types in Cliniko (Seniors, Students, Family/Friends, etc.).  This let's you set different prices for each billable item based on the concession type.  You also set a concession type to patients so that it is automatically applied on their invoices.  It's super easy to set up and is going to save you a lot of time and hassle.

Here's how it works.

Add Concession Types

You can add as many concession types as you like.  We've gone ahead and given you a couple to start with (Seniors and Students) but you can delete those or change them as you like.

This is done in Settings > Concession Types.

Set your Concession Prices

You can then set your different prices for each Billable Item at Settings > Billable Items.

Set Patient's Concession Types

Set the concession type for each patient by editing the patient details in the patients tab.

Concession Prices will be automatically applied to Invoices

The invoices will now automatically use the concession prices when applicable.

Your patients will also see this on their printed/emailed invoice copy.

Other Information

If you don't wish to use Concession Types, there is nothing you need to do.  Cliniko will keep working just as it did before unless you actively take advantage of this new feature.

Our patients data import and export also now include Concession Types.

Summary

We're committed to constantly improving Cliniko.  We hope you enjoy this change and that it makes managing your clinic a little bit easier.

This is a great addition and will save a lot of time and embarrassment asking if patients are on a concession over and over.

A few suggestions for improving :-)

    1. In billable items having a box that applies a price to all concession types.  If you have a number of different concession types but they are all the same price this saves re-entering.

    2. Don't know if this is possible but having the ability to apply say a student concession to all patients on our cliniko data base who are say under 16 years old.

    Again, great addition!

Thanks for the feedback Tyraus.  #1 is more likely than #2 I would think.

    Love the addition, thankyou.

Is there any way we can make the concession patient standout on the appt book.  Just so on glance, reception can see that it will be a different pricepoint, as opposed to having to open up an invoice straight away.  Maybe somehow subtlly alter the colour of the appt,  or a little marker on the name (i know you don't want to clutter with too many symbols).

    Cheers

    Hi Evan,

Why do they want to know? What's the purpose.  Is it to check they are set correctly?

I can see a situation of when under the pump at the frontdesk,  my receptionist will just see a 'blue' appt and go straight to processing a $48appt,   then they'll actually open up the invoice whilst the eftpos machine is processing, and realise it should have been $43.

At moment we have set up different appt types for our concessions, and made them a different colour to get around the situation of not having concession available (until today).

Basically its a visual stimulation/reminder that they are going to charge a different amount to the standard amount.

    Hope that makes sense

Thanks Evan.  I'm not against making the change, it's just to understand it better.  Would they not just create the invoice and then run through the eftpos machine whatever is on the invoice?

Hey Joel! I was wondering - is there anyway to make it so that the different categories show up on the Financial Reports?

Actually on second thought....it's quite nice having them all totaled together. I've found a way around it for our patients on Membership Plans. Don't mind me.

yep, in theory that's how it should happen :-) (i know that when I'm running the desk myself, i usually just look at what colour the appt is, and go straight to the eftpos)        i guess it's more just going to be a transition thing for us - from how we've managed it, to how it will now run.  Just think it's a little handy safe-guard more than anything else to make sure we're really aware that a fee is going to be different  (only about 10% are concession, so it's kind of assumed a full fee more often than not).

@Evan, will it help if we show the patient's concession type in the appointment popup near their name?

@Valerie, glad you have it sorted!

Absolutely - that would be perfect.

On one of my billable items (only one of them - I've checked the others) - some of the concession types appear to be duplicated?

@Joel, is it possible to have the 'concession type' option appear when booking in new clients? This would save time not having to go into their details afterwards. Thanks.

@Arun... yes! Not sure when I'll get to it. but I will.

Hi Joel,  Is it possible to have the concession calculated based on the age of the patient rather than having to be updated manually.

Senior ______ (Greater than X number of years old)

Hi Dwayne, it's possible, it's not something we have planned in the near future though.

Ok no problem. Currently we are using separate appointment types and billable service for seniors. When we create a new appointment it carries over the existing types but our issue is that patient turn 65 between appoinents and then we forget to change the appointment type.

The real value add in this functionality is for it to automatically move a patient from regular to senior when they turn 65. Hope this update isn't too far down the pipe.

    Cheers,

Great addition. Is it possible to have a percentage discount rather than a fixed charge and have it so that this can be aprlied to dispensary items too?

Not sure if I'm doing something wrong, but I have entered the concession rate but it then adds tax, even though my full price includes tax... Do I have to work out the rate minus tax?
    Cheers,

Joel, Any update on when/whether the update to have the concession type appear near the patient's name in the appointment pop-up as per your comment on 11th July 2013?  This would be really handy for use as we use the concession types to also detail different rates for insurance companies/contracts.

    HI Patricia,

We do show the concession type on the appointment popup, we'd made that change.  Maybe I'm not understanding correctly?

Hi, just a quick question - my concessions in settings/concession types are listed alphabetically but on the dropdown list when adding/editing a patient they are listed in the most recently added type first.  As we use concession types to differentiate between different insurance company rates as well as self funding, club concessions, etc we have over 30 concessions so having these listed alphabetically on the dropdown would be incredibly useful!

    Hi Joel,

Is there any way of being able to select 2 concession types for the one patient. i.e. seniors concession and pilates concession? To save swapping them each time they come in for a difference consult/group session

Would be great if the system could automatically determine concession for seniors and students with the ability to put in a age as some offices would likely used different ages to qualify.  Have asked for this before.  Not sure if there have been any changes which would make this functionality more feasible.  It is such a pain trying to keep track to changes in patients age.

Please would you consider adding the option of showing the discounts that concession clients are receiving on their invoices (shows them the benefit they are receiving)? Also, please could it be possible to apply the concession for a limited period i.e. 1 year or until X date? Thanks
