Products are now special

We have just released an update to how we handle products in Cliniko.  Previously products were a billable item just like services or other, but now they are special!  We have a lot of extra features we want to add to how you can use products and it didn't make sense to group it together anymore.

You will now find there is a new "Products" tab.  In this tab (you may have guessed this bit) you will find your products.  They will no longer appear in Billable Items.  We have also added "stock levels" to products.  You can set this stock level and it will automatically decrease whenever you sell that item.

We haven't quite finished the stock levels features yet, in the next day or so will be bringing in "adjustments" so that everything is tracked properly for tax purposes.

This is really just the start for products, we are building a comprehensive inventory system in as well as a few other nice things to make it very easy for those of you that sell a lot of products.

We will do a comprehensive summary once we have a few more pieces of this in place.

Great work Joel, this will be very helpful.

Any chance there's an option to add a filter to split the stock levels b/n practices?

    Thanks Joel.

    A nice addition to Cliniko.

When you are developing this again, it would be great if you were able to price multiples of the same item at different prices, i.e. buy 1 for $3, 5 for $12 etc.

Currently we have these multiples as different products which is fine but only if we don't use the new stock control feature.

    Regards Tim

Aaron, yes I hadn't considered stock level per practice.  Will add that to our todos.

Tim, that's a tricky one.  It's not something you can just override the price on during sale? I am sure we could do it, but it's probably going to be a while off.

Another thought I had for a way to deal with quantity breaks would be to create another category of billable items, called packages. The package would contain a number of products and/or services for a set price, i.e. 2 x item X and 2 x item Y = package Z priced at $10. The stock levels would be automatically reduced for the components of the package when sold.

Potentially you could have an expiry date field that disables the package on a set date to allow for special offers etc.

I have thought about doing a price override but that introduces the potential for operator error ;-)

    Can we make adjustments yet?

    If so how?

Great. How did you find it?

(I will still bring in some reporting and logs of adjustments this week)

Hi, we sell items in part units (we stock 100g or 200g units of herbal powders but prescribe mixtures of these).  A typical formula may include 0.05-0.14 units of lots of different herbs.  Is it possible to bill and track stock to two decimal places?

also, is it possible to arrive stock in foreign currency and add the costs like shipping, customs charges etc to be evenly shared among the products arriving and have the system calculate landed cost in NZD?

and can we use Chinese characters in the product description and clinical notes?  thanks

@Tracy - You're not able to use decimals on products, so you'll need to do something like keep quantities in grams rather than based off of the size of the units.

You can add tax to your product purchases when creating an expense.  We don't have a way to link further expenses to help with something like Customs charge though.

And Chinese Characters work for both product names and treatment notes!

    Guys,

I just deleted an invoice for product purchase from a client. By chance I realised that despite that product now not being sold, the stock levels in Cliniko did not adjust back?? This could of course really quickly make tracked stock levels totally wrong?

    Am I missing something?

It would be amazing if after adding a product there was an additional tab in that screen to click on to add next item. Currently after adding an item you then have to go back to the products list and then click add

    Hi Michael,

It might be much faster to import them from a spreadsheet.  You can do this from Settings > Data Imports.

Lulz i would still have to create the spreadsheet then ;)

Hi, I would really love it to be possible to TAB across to add the product qty and price when adding product invoices. It waste time having to go from mouse to keyboard to mouse to keyboard for a invoice of 30 plus lines. hope that makes sense. I also cant wait for these upgrades, the stock control section of this program will just make it if I can use it for tracking ordering patterns and maximise my buying power.

    1. Nice one, Kacey.

    2. An awesome addition would be to have separate columns for price and amount charged so that when I give patients a discount, they can actually SEE that I did (do good and talk about it ;)

For instance MYOB sorts that into two columns which is really handy. One is discount % and the other final price or so. Whichever column you enter something into, the other auto-populates.

    3. Is the issue with the stock tracking fixed, as in: when you delete an invoice, the stock level gets added back in?

    Cheers :)

Hi, please advice how to bill our products.

  • Avatar
    Igor Silberud

or maybe add them to an invoice?

  • Avatar
    Jim Sadusky

    @Daniela & Kacey - Nice suggestions, thanks :)

We have not yet fixed the bug on stock tracking when you delete an invoice though, sorry Daniela!

@Igor - You can add your products to your Cliniko account from the Products tab.  Once that's done, you'll see an icon appear on your invoice tab that says "Add a product".  That's all there is to it!

Any update on products by location? We are having lots of difficulty managing product sales and availability in three locations.

Oh oops, I got overexcited and didn't read properly. Have NOT yet fixed, it said. Ah well... hopefully the inventory system will get some loving soon. I know you are busy

I know Daniela :( I would love to see this happen soon, but it's a reasonably large task that we're just not able to devote resources to right now. I wish we could!
