You can now write and send LETTERS from Cliniko

We just released one of our biggest updates ever!  You can now create letter templates in Cliniko and write patient letters (either to patients, or to 3rd parties like doctors).

Watch this video for a demonstration...

First, you'll want to create your Letter Templates in Settings > Letter Templates.

Then check your print/document settings at Settings > Documents & Printing.

Finally, go to your patients page and create any letters you need.  These can be printed, downloaded as PDF or emailed.

Potential uses:

  • Letters to other healthcare practitioners
  • Letters to your patients
  • Emailing new patients information about your business policies

    How many pages can we produce? My client contract is 4-5 pages and sending it out via email will be great.

    Thank you. This is a huge help! Yep it is a bit of a worry that these technological wonderfulnesses fill us with so much joy! But when you are 'chief cook and bottlewash' (chief podiatrist and instrument washer),  time savers are what you need.

    Great work Joel & the team!!! I did a test run & it seems as though the patient's date of birth comes up backwards, i.e., 1998/12/28. Not sure if i've done something wrong or not?

    Hi Joel - just found a couple of things missing from the template creation part:

    1. No ability to auto-insert today's date (e.g. for medical certificate)
    2. No ability to "center" text
    3. Template Names - couldn't call it "Medical Certificate" or "Referral Letter" (even though this was the first and second template I had created) - see images

    And one possible error - when you set a template to have bold, underlined text, it shows as that when you're editing the letter, but when you preview or print, the underline styling is omitted...

    Otherwise, awesome!!

    Hi Joel,

    A few suggestions:

    • Insert auto date (todays)

    • Being able to insert pictures/object? For example my digital signature for the letters. Or have separate area to add a digital signature, which then can be selected from the drop down menus.

    • Being able to insert letter head? Foot note?

    • No option of address from practitioner list? (unless I missed it)

    Hi Joel,

    Great work by you and your team!

    I am having the same problem as David Birley, "Referral letter" or "Doctor Referral" flaggs as already in use even though it's the 1st template that I am creating.  If I put underscore then a number as a sufix, it will save.

    Hi Tyraus,

    I just realised what's causing that... it's a pretty bad bug :)    We originally wanted to ensure you have a unique name for each letter template, but we implemented unique across all of Cliniko (across all accounts, so one lucky person got Doctor Referral before you did).  Clearly that's not how it's meant to work, I'll fix that now.

    Hi Joel,

    Created a 2nd letter template which seems to have some problems:

    1. No contact placeholder

    2. Logo turns out very small.

    Other improvements I think would help is the ability to highlight text and select font size/styles and not have this change across entire line of text. This would allow us to have say "Date" heading in bold, while actual date is non-bold etc.

    As others have said, date placeholder for date of letter.

    I have created a few templates. It is just great and will save so much tie. Additional fields for me would be date (as per others comments), Contractor Provider #, Contractor Referral Date (which is in most letters you write about a patient). the date of first appointment (which is always in every acknowledgment of referral letter), and the ability to add a 'he' or 'she' placeholder to letters - set by gender entered. These are all nice to haves I guess - but they would make such a difference I thought it couldn't hurt to ask!

    Another non essential but nice to have -  It would be good to see the template as you are creating it - so you can add spaces and see what you are creating. As it is now, you create and then you have to go to a patient and generate a draft to see your stuff ups and then go back to the template to correct. As I said - not essential - but a nice to have. 

    @Joel - thanks! It is a great addition and I will find it very useful as it is - so thanks again - much appreciated.

    Is it possible to do a run of a letter for multiple people, e.g. can I create a birthday letter, then select all the people who have birthdays in the next month and print letters to all of them at once?

    Couple points:

    @Tyraus - I think the problem comes up with the logo size when you have A5 invoices and A4 letters.  We'll need to fix this one.

    @Stuart - That's best for Mailchimp.  Check out https://support.cliniko.com/entries/21331588-Integrating-Cliniko-with-your-MailChimp-account to start using that!

    @Everyone - We're discussing more fields and improving paging.  Keep the awesome feedback coming!

    Very nice. Few things:

    1. Centre function would be nice

    2. Tab drags the whole line across (even when done at the end of the line)

    3. Images would be useful for New Pt forms

    4. Inserting Today's Date field

    I was just reading about sending letters but I dont appear to have the tab settings.  Is this only for the administrator to use.  It sounds as though it could be useful but would like to try it and see.

    Hey Bev - accessing templates is an admin - only function, that's right.  once the templates are made practitioners can view/create/and update letters.

    I have our Podiatrists listed as practitioners and they don't seem to be able to add the contact to their letters. After changing them to "adminstrator"s they do....
